Create contract

  1. In contracts, click on Switch to change mode.png.

  2. To create a very first contract, move cursor in an empty area and click right mouse button.

    To create another contract, move cursor on an existing contract and click right mouse button.

  3. In context menu, click on 'Create', select frame contract or license contract, and place to insert.

  4. In a frame contract, leave current evaluation date or enter another.

    To open calendar, click on Select data.png.

    Select date and click on Accept.png.

    note

    Only the values of items of assigned license contracts that are valid on the evaluation date are calculated. Values of items of expired contracts are set to zero.

  5. Enter name and description for new contract.

  6. In a frame contract, extract required data from original contract and enter data in 'Base data' tab.

  7. In a license contract, extract required data from original contract and enter data in 'Base data' and 'Products' tabs.

  8. Enter additional information in 'Free text' tab.

  9. Upload contract documents in 'Documents' tab.

  10. To save contract, press CTRL+S.

  11. Repeat previous steps until all required contracts are added and contain required data.

What can be entered in 'Base data' tab

  • Frame contract:

    1. Enter contract begin date and end date.

      To open calendar, click on Select data.png.

      Select date and click on Accept.png.

    2. Enter currency.

      To see available currencies, click on Select data.png.

      Select currency and click on Accept.png.

  • License contract:

    1. Enter contract begin date and end date.

      To open calendar, click on Select data.png.

      Select date and click on Accept.png.

    2. Enter currency.

      To see available currencies, click on Select data.png.

      Select currency and click on Accept.png.

    3. Select assignment.

    4. Select base for calculating the maintenance amount of the contract items.

      • If 'Calculated active maintenance base' is selected, the maintenance base is calculated for each item in the contract based on the order value of the respective product.

      • If 'Manual maintenance base on header level' is selected, the maintenance base is calculated based on the value entered manually here. This maintenance amount is distributed proportionally to the items in the contract.

      • If 'Manual maintenance base on position level' is selected, the maintenance base is calculated on the maintenance base that is maintained individually for each item in the contract.

What can be entered in 'Products' tab

  • License contract:

    1. To create an item, click on Add1.png.

      For information on how to create a termination item, see Terminate product.

    2. In pop-up, mark row of product and click on Accept.png.

      • Products must be created in Products.

      • Each contract should contain an item of the type 'Maintenance on-premises'.

    3. In pop-up, select license model and do one of the following:

      • If license model is 'Perpetual', enter number of licensed blocks, price per block, and order value and select assignment.

      • If license model is 'Subscription', enter number of licensed blocks, order value, begin date and end date, price per block/period, and period and select assignment.

        note
        • Begin date and end date of subscription products may differ from the begin date and end date of the contract.

        • If product type is 'Maintenance on-premises', values are automatically calculated based on the maintenance base of the license contract. No entries can be made. The maintenance base can be manually adjusted in 'Base data' tab.

      tip

      To maintain a product, click on btn_product-en.png.

    4. Click on SAP navigation back.png.

    5. If required, add more items.

  • An overview of aggregated numbers per product type is shown in 'Overview product types' tab.

  • In a frame contract, an overview of the single, non-aggregated items in all subordinate license contracts is shown in 'All positions' tab. The 'End date by frame contract' column shows whether the end date of an item is determined by a parent frame contract.

  • In a frame contract, double-click on a product in 'Products' tab to show all subordinated license contracts that contain this specific product.

What can be entered in 'Free text' tab

  • Frame contract and license contract:

    1. Place cursor in text field.

    2. Enter text.

What can be entered in 'Documents' tab

  • Frame contract and license contract:

    1. Click on Add.png.

    2. Enter description.

      To navigate to directory, click on Select data.png.

      Select file and click on 'Open'.

      Click on Add document.png and allow access to file.

    3. To view uploaded document, mark row and click on View document.png

In a frame contract, an overview of documents in all subordinate license contracts is shown in 'All documents' tab.
